Access control with ZKTeco readers

Connect the ZKTeco fingerprint or face reader at your entrance to EzGYM: every member is loaded on the reader with their name, every time they come in it is recorded on their profile and, if they come in with an overdue fee, they get the payment reminder. You can also open the door from the app. No software to install on a computer: the reader talks directly to EzGYM over the internet.

{primary} Fingerprints and faces stay only on the reader. EzGYM never receives or stores them: it only knows which member came in and when.

Which readers work

ZKTeco readers that have the Cloud Server option (on some devices it is called ADMS or Cloud Server Setting) in the communication menu. Most networked (cable or Wi-Fi) ZKTeco time clocks and access-control readers have it: for example the SpeedFace, ProFace, iFace, uFace, MB and K lines. If your reader has that option, it works.

1. Connect the reader in EzGYM

  1. In the app, go to Menu → Access control.
  2. Under Connect a reader, enter the reader's serial number. You find it on the reader under Menu → System info (or on the label on the back).
  3. Give it a name, for example "Main door", and tap Connect.

The reader shows as Waiting for connection until you set it up.

2. Set up the reader

On the reader, go to Menu → Communication → Cloud Server (or ADMS) and enter:

Option Value
Server address acceso.ezgym.net
Port 443
HTTPS On
Enable domain name On

Save and restart the reader. Within a minute, Access control shows Online.

{warning} The reader needs internet access (cable or Wi-Fi) and the correct date and time.

3. Members are loaded automatically

As soon as the reader connects, EzGYM sends it all your members with their names. Each member's user number on the reader is their customer number in EzGYM. While it loads them, the screen shows how many are left.

When you add a member, change their name or delete them, the reader is updated automatically.

Then enroll each member's fingerprint or face on the reader itself, as usual: look up the user by their number and register the fingerprint or face.

4. Entries

Every time a member comes in, it is recorded:

  • In Access control → Entries, with the time, the member and how they came in (fingerprint, face, card or PIN). You can look at any day.
  • On the member's profile, in the Attendance section, with the month's entries.

If the reader records someone who is not in EzGYM, they show as "Member #…".

5. If they come in owing

If a member comes in with an unpaid overdue invoice, the entry is marked Came in owing and they get the payment reminder you already use (by email and, if enabled, by WhatsApp). At most once a week, even if they come every day.

The reader does not deny entry: the member still comes in and you see who came in owing.

6. Open the door from the app

In Access control, each reader has an Open door button. The reader opens it the next time it checks in (within a few seconds) and the app tells you when it did.

7. Members who stopped coming

In Access control → Members who stopped coming, turn on the notice and choose how many days without coming. A member who goes that long without coming in gets a "we miss you" email. Only one: it is not repeated until they come back.

Who can use it

  • View entries and readers: roles with the Access control: view permission (by default admin, management, reception and trainers).
  • Connect readers, open the door and change the notice: Access control: manage (by default admin, management and reception).

Change it in Roles and permissions.

If the reader does not show as online

  • Check that the serial number entered in EzGYM is exactly the reader's.
  • Check the server details: acceso.ezgym.net, port 443, HTTPS and domain name on.
  • Make sure the reader has internet and the right time, and restart it.
  • A reader can only be connected to one account. If you used it in another one, disconnect it there first.
